Tasks and Processes

Overview

In Comidor it helps to think of a Process in two ways, general and functional. General Process refers to the fact that all activities in Comidor are a type of Process. A project, task, campaign, event or work package are just a few examples of Processes.

A functional Process is a course of action allocated to and completed by a group of users, teams or groups. A Process can be a one-off activity (e.g. a marketing campaign) or something that needs to be run on a regular basis (e.g. monthly reporting).

A Task is a single piece of work. Like a Process, Tasks can be one-off or repetitive. Tasks can be linked to a specific functional Process. A Task can be created by the user and allocated to another
user or it can be allocated to themselves. When a Task is created it will appear in the calendar of the related users.
Tasks and Processes are at their most effective when linked together.

Quick Guide

The Workbench in Comidor provides a good overview for all active processes, messages, Emails and tasks that are due and overdue. It can be accessed by clicking on the Workbench tile in the
Homepage or by going to Modules Menu Icon > Desktop > Workbench.

The Quick Add Icon in the top right of the screen allows the user to create an Email, Task, Process, Request, etc. Objects that are active when the user clicks on Quick Add to create a Task, Contact, Account, etc can be linked together. For example, if the user has a Process open and they click on Tasks in Quick Add a suggestion will appear in the Task to link it with the open Process. Some fields will be pre-populated with information from the background screen.

All active Tasks which are linked to a Process will appear in the Timesheet module where the user can allocate time spent on that Task.

If the Process needs to be run regularly then Process Scheduling can be used. You can select how long and how often this process will run for, the users allocated to the process and link the Process to an Account or a Workflow. The Process will then appear in the Workbench whenever it is set to run. Tasks associated with the Process will appear in the Calendar of the users who are responsible for completing those Tasks.

Another type of process is an Event or Meeting. Users can create these by using the Events module which can be accessed by clicking on Modules Menu Icon > Collaboration > Events. Add users who can join the meeting and they will receive a notification inviting them to the Event. When participation is confirmed a Task will be added automatically to the calendar of all participants. This Task will also appear in the Workbench. To further enhance the Event function create a Notification Scenario which generates a reminder in the Notification Bar prior to the Event.

Example:

As a manager you are working through the monthly invoicing cycle. You also have a one-off task from your line manager to run some reports for a board meeting.

The one-off task will appear in Tasks and will be added to your calendar. It will also appear in the Notifications bar. The invoicing cycle is a Process. The Process will appear in the Workbench as an active Process and also in the Process notification in the Notifications bar. If certain steps or actions need to be carried out for the Process then Tasks can be created and linked to that Process. The Tasks linked to the Process will appear in the calendar and the Notifications bar
